Cancellation Policy: EPIISOD Macquarie Park

1. Booking Terms and Conditions

Upon payment of a holding deposit equivalent to one week’s rent and submission of the booking application, a room offer email will be sent to the applicant. The applicant is required to accept the room offer and formally enter into a tenancy agreement with EPIISOD. A bond payment amounting to four weeks’ rent is also required to be paid within five business days from the issuance of the room offer email. This bond payment is lodged with the relevant state bond authority in accordance with the Residential Tenancy Act.

The holding deposit paid will go towards the initial rent payment once the applicant checks into the property.

Payment of the holding deposit and submission of the application does not guarantee a room allocation. A room offer will be sent within three working days from your application submission. Your reservation is not confirmed until you have received and accepted our room offer. If your room is not available, your holding deposit will be refunded in full. To withdraw an application, you will need to submit your intention to withdraw in writing to us at enquiry@EPIISOD.com.

2. Cancellations Received Before the Commencement Date of the Signed Residential Tenancy Agreement

a) The below terms and conditions do not apply to a replacement tenant taking over a tenancy agreement from a current tenant. Please refer to Section 5 for cancellation of the replacement tenancy agreement before the commencement date of the tenancy agreement.

b) Cancellation requests must be submitted in writing via email to enquiry@EPIISOD.com

i) Cancellation is submitted to EPIISOD no later than 14 days BEFORE the agreement’s start date

• The holding deposit will be forfeited to EPIISOD.
• Bond paid will be refunded to the applicant.
• The Residential Tenancy Agreement will be terminated.

ii) Cancellation is submitted to EPIISOD 13 days or fewer BEFORE the agreement’s start date

• The holding deposit will be forfeited to EPIISOD.
• An administrative fee of AUD $250 will be charged.
• The applicant will be responsible for paying rent for the room stated in the tenancy agreement until an approved replacement takes over the tenancy.
• Any outstanding charges (e.g., administrative fees, rent, etc.) will be deducted from the bond paid. Any remaining bond amount will be refunded to the applicant.
• The Residential Tenancy Agreement will be terminated upon the replacement tenant paying the holding deposit and bond and signing the tenancy agreement.

c) Applicants are responsible for finding their own tenancy replacement. Residents are responsible for rental payments according to the Residential Tenancy Agreement for the whole period of their agreement or until such time as an approved replacement is found (whichever comes first). EPIISOD is obliged to fill rooms that are already vacant before newly departed rooms can be filled, following a queue.

d) EPIISOD must approve all replacement tenants. Replacement tenants must be students from a higher education institution and cannot be existing tenants with whom EPIISOD already holds an agreement.

e) EPIISOD reserves the right to recover reasonable costs (including but not limited to cleaning, advertising, administration costs, and loss of rent) for agreement cancellation and early termination from the holding deposit or bond payments until a replacement tenant is found.


3. Cancellations Received After the Commencement Date of the Signed Residential Tenancy Agreement

a) The below terms and conditions apply to both original tenants and replacement tenants taking over a tenancy agreement from a current tenant.

b) Cancellation requests must be submitted to EPIISOD by completing a ‘Notice to Leave by Tenant’ form, available upon request at reception.

i) Cancellation is submitted to EPIISOD AFTER the agreement’s start date, regardless of whether the applicant has checked in or not

• The holding deposit (used to cover rent) will be forfeited to EPIISOD if any amount remains after rent deduction.
• An administrative fee of AUD $250 will be charged to the resident and paid directly to EPIISOD (this cannot be deducted from the bond lodged with the bond authority).
• The resident will be responsible for paying rent until an approved replacement takes over the tenancy.
• Any outstanding charges (e.g., cleaning fees, rent, etc.) will be deducted from the bond paid. Any remaining bond amount will be refunded.
• The Residential Tenancy Agreement will be terminated upon the replacement tenant paying the holding deposit and bond and signing the tenancy agreement.

c) Applicants are responsible for finding their own tenancy replacement. EPIISOD is obliged to fill already vacant rooms before newly departed rooms, following a queue.

d) EPIISOD must approve all replacement tenants.

e) Outgoing tenants should allow at least three working days for cleaning and maintenance after departure and before the incoming tenant’s start date. Rent for this period is payable by the outgoing tenant.

f) Departing tenants are required to complete a Bond Claim Form prior to departure.

g) On the day of departure, keys must be returned before 10:00 am. Late returns may incur charges unless prearranged.

h) EPIISOD reserves the right to recover reasonable costs (including cleaning, advertising, administration, and loss of rent) from the holding deposit or bond until a replacement tenant is found.


4. Cancellation of Tenancy Agreement – Visa Refusal (International Students)

International students may terminate their agreement with limited liability under the following:

i) Full refund of holding deposit and bond if:

• Visa rejection is notified to EPIISOD within 24 hours of receiving the decision.
• Cancellation form is submitted no later than 14 days BEFORE the agreement’s start date.

ii) Forfeit of holding deposit and partial bond refund if:

• Visa rejection is notified 13 days or fewer BEFORE the agreement’s start date.
• A $250 administrative fee will be deducted from the bond.

iii) Forfeit of holding deposit and bond if:

• Visa rejection is notified AFTER the agreement’s start date.

If visa status is not known by the agreement’s start date, the holding deposit will be used for rent, and once exhausted, the contract will be deemed terminated with the bond forfeited.


5. Cancellations Before the Commencement Date for a Replacement Tenant

Same process as above, with the holding deposit and administrative fee conditions applying, and the original replacement responsible for rent until a second replacement is found.


6. Cancellation by EPIISOD

EPIISOD may cancel any incomplete application past the completion deadline, retaining applicable fees or deposits. EPIISOD may also cancel bookings if false information is provided or obligations are not met, retaining deposits where permitted by law.


7. Contract Deferment

Requests must be submitted in writing at least 14 days before the lease start date with supporting documents.

The first deferment is free, subsequent ones after the start date incur a $250 fee.
